Job Overview

Role: Switchboard Operator

CORE PURPOSE OF THE JOB

Attends to all incoming telephone calls and directs callers to the appropriate consultants/staff members for further assistance with a view to always projecting the Bank’s professional image. Also provide a support function for certain branch administrative duties.

MAIN FUNCTIONS OF THE JOB INCLUDE:

SWITCHBOARD

  • Operates communication systems such as telephone and switchboard.
  • Ensures that switchboard is opened at 08h15 each day.
  • Answer all calls within 3 rings.
  • Answers all incoming calls by greeting callers thereby creating a warm, professional and friendly first impression.
  • Ensure that the standard greeting is used when answering the telephone.
  • Provides general information to callers.
  • Transfer calls to appropriate person.
  • Ensures that messages are delivered immediately on receipt by email and followed up with a call if urgent.
  • Routes emergency calls appropriately.
  • Relays and route written and verbal messages.
  • Places telephone calls or arranges conference as instructed.
  • Keeps records of calls placed and incurred.
  • Ensures that switchboard is routed to message at the end of the day.
  • Ensures that correct message is on voicemail when the Bank is not operational including Friday lunch, Saturdays and public or Islamic holidays.

GENERAL

  • Performs Administration duties such as typing and filing.
  • Attends to any additional tasks as may be required by the manager.

QUALIFICATIONS

  • Matric

PREFERRED EXPERIENCE

  • 1- 2 years’ experience on switchboard.

General Office administration experience
